Outlines Research & Development is an IT-based research and consulting knowledge company established in 2010. We specialize in Research, Information Technology, Management, Capacity Building, and Project Development & Implementation. We operate across various sectors, including Government, Finance, Cooperative, Education, Tourism, Development, and Private sectors. Our dynamic team consists of 15-20 staff members. We are currently seeking a detail-oriented and organized Admin Officer to join our growing team.

Reports To : Managing director

Education Level

:

Minimum Bachelors in Business Administration (BBA) or Bachelor of Business Studies (BBS).

Experience Required

:

At least 2 years of experience

Desired Qualities

  • Knowledge of VAT, TDS, Income tax, taxation 
  • Adapt computer skills and proficiency using programs like google docs/spreadsheet
  • Advanced math skills to keep accurate records and supervise the bookkeeping of an organization
  • Strong verbal and written communication skills to interact regularly with clients regarding sensitive topics like billing and payments
  • Excellent organization skills for maintaining clear, accurate and meticulous financial records for a company
  • Multitasking in order to successfully handle multiple accounts, invoices and payments at various stages of execution

Job Responsibilities

  • Manage Staff and administrative works effectively.
  • Manage and supervise accounts and bookkeeping
  • Control and organize office supplies.
  • Manage and digitize important and confidential company documents 
  • Manage and maintain filing systems, both electronic and physical
  • Schedule and coordinate staff and other meetings
  • Record employee leave records and manage leave and holidays
  • Supervise HR assistant  on employee leave of absence trends to supervisor.
  • Prepare and control business proposals and letters ( both english and nepali) 
  • Assist in resolving administrative problems

Other Duties

  • Maintain polite and professional communication via phone, email, and mail.
  • Prepare communications, such as emails, invoices, reports and other correspondence.
  • Attention to detail for ensuring the accuracy of a company's records and invoices
  • Communicating with clients regarding billing and payments
  • Sending bills and invoices to clients.
  • Creating and processing invoices
  • Cross-checking invoices with payments and expenses to ensure accuracy
  • Excellent efficiency for handling any accounting issues quickly with minimal interference
  • Answer phones and greet visitors.
